How to Organise Contacts, Track Recruitment Stages & Set Up Inductions

The first part of the web section covers grouping contacts so the right people land in the right workflow, then using the stages board to track a candidate from application through to onboarding. It is done in the Contacts module of the web portal, which sits alongside HR under Configurations, and the group a contact sits in decides what happens to them.

In this part

  • Find contacts and groups (0:00). Contacts is a separate module from HR with its own calendar, files, folders and safety records; its left pane offers contacts, companies, groups, my team, regions, record, activity and options, and Groups lists each category with its count.
  • Build groups and assign contacts (0:41). Adding a group offers contact, company, group or region as the basis, so it can be as broad or as specific as the workflow needs, and the stages board shows every person against Contacts, Applications, Interviews and Onboarding.
  • Run the recruitment pipeline (1:00). The stages tab shows who is where by role, from Admin and Crew through Foreman, Inductee, Manager and Supervisor, and each role’s welcome message is edited from the roles list.

Multi-stage onboarding has to be enabled in induction settings before the pipeline shows more than one stage. The PDF guide below has the screens for each step.
